01 / REVIEW
Organize by identifiers
Use lot and transaction references to connect documents, movements and corrections. Keep original files and an index rather than relying on one person’s inbox or memory.
02 / REVIEW
Record known limits
Include unresolved links and the scope of any review. A handover should not make uncertainty disappear merely because the project is complete.

Name the custodian
Assign responsibility for access, retention and future corrections. Apply the organization’s privacy and record-management requirements. Exported worksheets from this site are under the user’s control; they are not stored as an authoritative archive here.
Test whether someone else can follow the trail
An archive is useful when a person who did not assemble it can find the material, its documents and the unresolved questions. Start with an index of lot identifiers and explain the file naming convention. Include the relationship between supplier and internal references.
Keep original files separate from working notes. Mark replaced versions clearly and retain correction history. Export a readable summary as well as any structured data, because the next recipient may not use the same software.
Run a two-way retrieval check
| Starting point | Retrieval task |
|---|---|
| Physical bundle label | Find the receiving and supplier records |
| Invoice line | Identify the material or lots it covers |
| Origin statement | Find its claimed scope and unresolved links |
| Outgoing shipment | Trace its allocation to the retained stock record |
| Correction | Find the previous value and the reason for changing it |
A fictional handover fails when the recipient can open every PDF but cannot tell which of three lots each file covers. Adding more documents will not solve that problem. The missing work is the index and the material-to-document relationship.
Record who receives the archive and where the controlled current copy is kept. Use access controls appropriate to commercial and personal information. Public educational examples should use fictional identifiers; a useful internal traceability record need not expose private transaction documents on a website.
A lot-record scenario
Fictional example: a project handover includes an index, parent-child lot map and two open requests. The receiving custodian can see which claims are documented and which still need follow-up.
Use the result
Keep the completed review with the relevant project record. Assign unresolved items before relying on a conclusion. If the material, condition or document changes, revisit the affected questions.
